This guide will show you how to send a mass SMS message to a list of records using the Send Mass Messages tool. The tool allows you to select a List View for one of the Standard Object Types. The records in the List View can be filtered and verified to ensure your chosen records can receive messages. After you have selected the records, you can compose a new message or choose from your existing message templates.

This method of sending a Mass SMS is limited to 1000 records at a time. To send a Mass SMS to more than 1000 records, see the Salesforce – Sending a Mass SMS from Flow article.

The following instructions use the Sales app and the Contacts object in the standard Salesforce format. However, these steps can also be applied to other applications and standard object types. Depending on your Salesforce configuration, some fields may appear in a different layout or not be available. If you cannot view or edit the fields mentioned in this article, please contact your System Administrator for assistance.

Add Send Mass Messages to App Navigation Bar

  1. Click the Pencil icon at the right side of the Navigation Bar.

  3. Click All under Available Items.
  4. Enter send mass messages in the search box.
  5. Click the + button next to Send Mass Messages.

  6. Click Add 1 Nav Item.

  8. Send Mass Messages is now in your App’s Navigation Bar.
  9. Click the Send Mass Messages tab. You may have to click More to find it.

Access Send Mass Message from TrueDialog App

The TrueDialog app is preconfigured to include Send Mass Message in the Navigation Bar. This allows you to use the Send Mass Message tool without adding it to your app.

  1. Click the App Launcher.
  2. Enter TrueDialog in the search box.
  3. Click the TrueDialog app.

Send Mass SMS

  1. Click the Send Mass Messages tab.
  2. Click the Object Type List dropdown. Contact list is selected by default.
  3. Select the Object Type from the dropdown list.

  4. (Optional) You can change the List View by clicking the Down Arrow button next to the List Name and selecting a different list.

    Selecting the All Contacts list will change the table to display more columns for your records. This is helpful if you need to filter or select specific contacts.

  5. (Optional) You can filter the records.
    1. Click the Select Columns dropdown to select which columns are searched.
    2. Enter your search value in the Search Box.

  6. Select the records which you want to send a message to.
  7. Click Find Invalid Records.
  8. Check the text to the right of the Find Invalid Records button to check if any invalid records were found. This text should state 0 invalid record(s). See the Invalid Records section below for one or more invalid records.

  9. If none of the selected records are invalid, click Confirm Selection.

  10. Enter a name for the mass SMS in the Enter Mass SMS Name textbox at the top of the page.

  11. Enter the Mass SMS message in the Enter your message textbox.

    SMS messages have a character limit of 160 and will be sent as multiple messages whenever this limit is exceeded. The Msg indicates the number of messages sent to each record, and the Character shows the number of characters left for this message. TrueDialog supports message concatenation so that the user will receive a single message for carriers supporting concatenation.

Send Mass Options

Voice Message

TrueDialog supports sending messages using automated text-to-speech to speak your message to your contacts. Follow the instructions below to use this feature.

  1. Create a Mass SMS message following the instructions in the Send Mass SMS section above.
  2. Before sending the message, check the Send as Automated Voice Campaign checkbox.

Templates

A template can be used for the message of a Mass SMS. The following instructions show you how to use the template feature.

Using Templates

  1. Create a Mass SMS message following the instructions in the Send Mass SMS section above. But don’t enter a message in the Enter your message textbox.
  2. Click the Template dropdown.

  3. Select the template to use from the dropdown.

    Templates with dynamic content are supported in Mass SMS messages.

  4. The selected template’s message will be copied into the Enter your message textbox.
  5. (Optional) Edit the message in the Enter your message textbox if needed.
  6. Click Send Message.

Creating Templates

  1. Click the Create template link to the right of the Template dropdown.

  2. A new tab will open for the Classic Email Templates page.
  3. Follow the instructions in the Salesforce – Creating a Message Template article to create a template.
  4. Once you have created your template, return to the Send Mass SMS tab.
  5. Click Refresh templates to update the Template dropdown list to include your new template.

  6. Follow the instructions in the Using Templates section above to use the template.

Invalid Records

An Invalid record means that the TrueDialog system can’t send a message to the record, either because the record is opted out or the phone number is invalid.

  • The SMS Opt Out field indicates if the record has opted out of receiving text messages. If set to true, it will be invalid.
  • The Phone or Mobile fields contain the phone number TrueDialog will use when sending a message to the record. For Contacts and Leads, the record is invalid if both Phone and Mobile are empty. For Accounts, the record is invalid if the Phone field is empty.

A valid record does not mean that the phone number for the record is formatted correctly, active, and reachable. The record may still not receive your message for any of these reasons.

Suppose the Populate Formatted Phone Number trigger is disabled. Your record may have a valid Mobile or Phone value but still be invalid because the Formated Phone Number has not been populated. To fix this, re-enable the Populate Formatted Phone Number trigger by following the instructions in the Disable Custom Metadata Types section of the Salesforce – Using TrueDialog Settings Utility article. Or fill in the Formatted Phone Number field for your records by following the instructions in the Standard Objects with No Connectors section of the Salesforce – Using TrueDialog Settings Utility article section.

  1. From the Send Mass Messages tab.
  2. Select the records you want to check for any invalid entries.
  3. Click Find Invalid Records.

  4. The text to the right of the Find Invalid Records will indicate the number of invalid records found.
  5. A list of invalid records will appear between the Send Mass Messages toolbar and the records table.
  6. Click on a record to fix any errors causing the record to be invalid.

  7. In the screenshot below, the Invalid Client No Number record does not have numbers in both the Phone and Mobile fields.
